The following terms and conditions apply to our processing of your personal information.

When you hand over your personal information to us, we process your data as data controller. We take the protection of your personal information very seriously and we therefore want to inform you about how we process them.

The following describes what personal information we collect, what the information is used for, how long we keep them and the extent to which we share the information with others.

 

1. What do we use your personal information for?

We process your personal information when you (i) apply for a position at Copenhagen Film Fund ("the Fund") to determine whether you are a qualified candidate for a job vacancy with us, (ii) apply for funding from the Fund to evaluate whether the Fund can support your project, or (iii) sign up for our newsletter. In addition, we may use your personal information to respond to your inquiries at your request.

 

2. What personal data do we process and on what basis?

(i) If you apply for a job vacancy at the Fund, we process the personal data contained in your application, resume and other documents that are registered.

It will typically be the following information: Name, Address, Date of Birth, Sex, Contact Information, CPR Number, Marriage or Partnership, Education, Grades, Diplomas, Career History, Recommendations, and References.

We apply the nature of the data protection regulation 6 (1) (b) as a treatment basis, as it concerns personal information that you have sent to us in order to enter into an employment contract.

 

(ii) If you apply for funding from the Fund for your project, we process the personal data contained in your application, CV, and other documents that are registered.

Typically, the following information will be provided: Name, Address, Contact Information, List of actors and team as well as Images.

When you submit personal information about persons other than yourself, you agree that you have obtained this information and have been authorized to disclose them to us in accordance with the privacy laws applicable at any given time.

We apply the nature of the data protection regulation 6 (1) (b) as a treatment basis, as it concerns personal data that you have submitted to us in order to enter into an investment agreement with the Fund regarding the payment of funds for your project.

 

(iii) If you sign up for our newsletter, we will only register your email address.

We apply the nature of the data protection regulation 6 (1) (a) as a treatment basis, as we have received your consent to processing your personal information to send you our newsletter.

 

3. Do we pass your personal information on to others?

In some cases, we will disclose the personal information you have given us. The disclosure will only occur to the extent and to those necessary to fulfil one of the above stated purposes.

Your personal information may be disclosed to parties we collaborate with to manage the Fund's funds, publish our newsletter, or manage our website (such as technical support and financial institutions) or if required by law, a court order or other legal basis.

 

4. How long will your information be stored?

We store your personal information as long as necessary to meet any of the above stated purposes, or as long as required by applicable law, after which your personal information is deleted.

 

(i) If you apply for a job vacancy with the Fund, and your application is rejected, we will delete your personal information 6 months after we have rejected your application unless you give us your consent to our further retainment of your personal information.

 

(ii) If you apply for funding from the Fund and you receive a rejection of your application, we will delete your personal information 6 months after we have rejected your application.

 

(iii) If you unsubscribe from our newsletter, we will delete your e-mail address without undue delay.

 

5. What safeguards do we use?

We use technical and organizational security measures to protect your personal information against manipulation, loss, destruction or access by unauthorized persons. Our security procedures are regularly reviewed.

In case of a security breach which results in a high risk of discrimination, ID theft, financial loss, reputation loss or other significant inconvenience, we will notify you of the security breach as soon as possible.

 

6. What rights do you have in terms of data protection legislation?

6.1 Insight - You have the right to access your personal information

You are at any time entitled to know what personal information we process about you, where they originate and how we use them. We will also tell you for how long we keep your personal information and who receives personal information about you. Access may, however, be restricted for the privacy of other persons, business secrets or intellectual property rights.

 

6.2 Correction or deletion - You have the right to have inaccurate personal information corrected or deleted

If you believe that the personal information we process about you is inaccurate, you are entitled to correct them. You must contact us and describe what the inaccuracies are and how they can be corrected.

In some cases, we will have an obligation to delete your personal information. This applies, for example if you withdraw your consent. If you believe that your personal information is no longer necessary for the purpose we obtained them, you may request to have them deleted. You may also contact us if you believe your personal information is being processed in violation of the law or other legal obligations.

 

6.3 Opposition - You have the right to object to our processing of your personal information

You are entitled to object to our processing of your personal information. If your opposition is justified, we will ensure that our processing of your personal information is listed.

 

6.4 Data Portability - You are entitled to receive your personal information

You may, under certain circumstances, have the right to receive the personal information you have made available to us. You also have the right under certain circumstances to transfer these personal data to another service provider. These personal data will be transferred in a commonly used format.

9. Can we change privacy policy?

We are entitled to make changes to this policy at any time and we will ensure that you are notified of such chances.
